1. Payment Terms
TMV Business Solutions operates under clear and transparent payment terms to ensure mutual understanding between our company and our clients.
1.1 Payment Methods
We accept the following payment methods:
- Electronic Funds Transfer (EFT)
- Credit/Debit Card payments (via secure payment gateway)
- Instant EFT
- Cash payments (for in-person transactions only)
1.2 Payment Schedule
Upfront Payment: Most services require full or partial payment upfront before commencement of work. The specific payment structure will be outlined in your service quotation.
- Company Registrations: 100% payment required before submission to CIPC
- Tax Services: 50% deposit, balance on completion
- Web Design: 30% deposit, 40% on design approval, 30% on delivery
- Consulting Services: Payment per session or monthly retainer
- Certification Services: 100% payment required before processing
1.3 Invoice Terms
Invoices are payable within 7 days of issue unless otherwise agreed in writing. Late payments may incur interest charges of 2% per month on the outstanding balance.
2. Turn Around Times (TAT)
We are committed to delivering quality services within reasonable timeframes. However, turnaround times may vary based on service complexity and external factors.
2.1 Standard Turnaround Times
- Company Registration (Pty Ltd): 5-10 business days (subject to CIPC processing)
- Close Corporation: 5-10 business days
- NPO/NPC Registration: 15-30 business days
- Tax Clearance Certificate: 21 business days (SARS dependent)
- B-BBEE Certificate: 10-15 business days after document submission
- CIDB Registration: 15-30 business days
- Website Design: 15-45 business days (depending on complexity)
- Logo Design: 5-10 business days
- Accounting Services: As per agreed schedule
Important: Turnaround times are estimates and may be affected by:
- Government/regulatory body processing times
- Completeness and accuracy of documentation provided
- Public holidays and peak periods
- Client response times for approvals or additional information
2.2 Expedited Services
Rush services may be available for certain offerings at an additional fee. Please inquire about expedited processing when placing your order.
3. Refund Policy
We strive for 100% client satisfaction. However, due to the nature of our services, refunds are subject to specific conditions.
3.1 Non-Refundable Services
The following services are NON-REFUNDABLE once processed or completed:
- Company Registrations: No refund once company is registered with CIPC
- Tax Clearance Certificates: No refund once application submitted to SARS
- B-BBEE Certificates: No refund once certificate is issued
- CIDB Registration: No refund once application submitted
- Government Submissions: No refund once submitted to relevant authorities
- Consulting Services: No refund for sessions already conducted
- Digital Products: No refund once delivered (websites, logos, designs)
3.2 Eligible Refunds
Refunds may be granted in the following circumstances:
- Service cancellation BEFORE work has commenced (subject to 15% administration fee)
- Failure to deliver service due to our error or inability to fulfill
- Duplicate payment or overcharging (full refund of excess amount)
- Service rejection by government body due to our error (not client documentation)
3.3 Refund Process
Approved refunds will be processed within 14-21 business days and returned via the original payment method. Bank processing may take an additional 5-10 business days.
4. Service Guarantees & Limitations
4.1 Our Commitment
We guarantee to:
- Provide professional and competent services
- Maintain confidentiality of client information
- Keep clients informed of progress
- Use reasonable care and skill in service delivery
- Comply with all relevant laws and regulations
4.2 Limitations of Liability
TMV Business Solutions shall not be liable for:
- Delays caused by government departments or third-party service providers
- Rejection of applications due to client-provided information or documentation
- Changes in legislation affecting service delivery or outcomes
- Indirect, consequential, or incidental damages
- Loss of profits, business opportunities, or data
Our total liability shall not exceed the amount paid for the specific service in question.
5. Client Responsibilities
Clients are responsible for:
- Providing complete, accurate, and truthful information
- Submitting all required documentation in a timely manner
- Responding to requests for additional information promptly
- Reviewing and approving work within specified timeframes
- Making payments according to agreed terms
- Informing us immediately of any changes to contact details or circumstances
Important: Failure to meet client responsibilities may result in delays, additional fees, or service cancellation without refund.
6. Intellectual Property
6.1 Ownership
Upon full payment:
- Custom Designs: Client owns the final approved design
- Websites: Client owns content; we retain rights to code framework
- Logos: Client owns exclusive rights to final logo
6.2 Usage Rights
We reserve the right to:
- Use completed work in our portfolio (unless confidentiality agreement exists)
- Reference client projects in marketing materials (with permission)
7. Data Protection & Privacy
We are committed to protecting your personal information in accordance with the Protection of Personal Information Act (POPIA).
7.1 Information Collection
We collect only information necessary to provide our services, including:
- Personal identification details
- Contact information
- Business information
- Financial information for payment processing
7.2 Information Usage
Your information is used exclusively for:
- Service delivery and administration
- Communication regarding your services
- Legal and regulatory compliance
- Improving our services (with consent)
We will NEVER: Sell your personal information, share it without consent, or use it for unauthorized purposes.

8. Dispute Resolution
8.1 Complaints Procedure
If you have a complaint:
- Contact your service consultant directly
- If unresolved, email info@tmvbusinesssolutions.co.za
- We will respond within 5 business days
- Formal resolution attempted within 14 business days
8.2 Mediation
If internal resolution fails, both parties agree to attempt mediation before pursuing legal action.
8.3 Governing Law
These terms are governed by the laws of the Republic of South Africa. The courts of South Africa shall have exclusive jurisdiction.
9. Amendments to Terms
We reserve the right to update these terms at any time. Changes will be:
- Posted on this page with the updated date
- Communicated to active clients via email
- Effective 30 days after notification
Continued use of our services after changes indicates acceptance of new terms.
10. Acceptance of Terms
By engaging our services, you acknowledge that you have:
- Read and understood these terms and conditions
- Agreed to be bound by these terms
- Understood the refund policy and limitations
- Accepted the payment terms and TAT estimates
Your use of TMV Business Solutions services constitutes acceptance of these terms.
